Understanding SaaS Fatigue and Overload

How many different apps can you receive a text on? Me personally, I can think of six off the top of my head: my cellphone, Facebook, LinkedIn, Teams, Google Chat, Skype, WhatsApp, and I’m sure if I really thought about it, I’d have a few more to add to that list. And worse, I can never remember where that message is? Was it in WhatsApp? Skype? I dunno, guess I’ll go fishing.

SaaS Fatigue refers to the weariness and overwhelm felt by individuals and organizations due to the excessive amount of Software as a Service (SaaS) applications they use. It comes from:

  1. Tool Overload: Too many platforms, too many SaaS applications for various tasks. Too many different places to login to get your job done. Not knowing which tool to use, for which task.
  2. Integration Issues: Challenges in integrating different SaaS tools, which can cause disruption in your workflow
  3. Cost Concerns: Rising subscription costs for numerous SaaS products.
  4. Security Risks: Increased vulnerability with more SaaS applications, each requiring security review and management.
  5. User Fatigue: Overburdening employees with the need to learn and manage multiple platforms.

Fixing SaaS Fatigue

Addressing SaaS fatigue is kind of like cleaning your closet. You look at the whole space, review each item, and decide whether to keep it or throw it out. And much like cleaning a closet, it’s a chore that is ripe for procrastination.

  1. Evaluate and Consolidate: Conduct an audit of the tools your organization uses. Identify redundant applications and eliminate those that do not provide significant value.
  2. Improve Integration with APIs: Make sure your SaaS applications can integrate seamlessly through robust APIs. Use integration platforms like Zapier or Microsoft Power Automate to connect different tools. And, if necessary, develop custom connectors to streamline workflows.
  3. Cost Management:
    • Subscription Audit: Regularly review your SaaS subscriptions. Negotiate with vendors for better pricing or explore annual plans to reduce costs. As the buyer, you have power, use that power to get a better price.
    • Usage Analysis: Monitor the usage of each application to ensure you are getting value for your money. Reporting is a standard feature in SaaS. Cancel subscriptions for underutilized tools.
  4. Centralized Management with SSO: Use a centralized Identity and Access Management (IAM) system to manage user permissions across all SaaS applications. OKTA, ADFS, SAML, to name a few, are platforms that manage single sign on. SSO works to control access, which increases security, and increase usage, since in it makes it easier for users to login. They don’t have to remember yet another, username and password.
  5. Streamline User Experience:
    • SSO – Repeating Single sign on, here, because it really does make it easier for users to access the SaaS app.
    • Training and Support: Provide comprehensive training and support for employees to help them navigate and make the most of the SaaS tools.
    • Feedback Loop: Establish a feedback loop where employees can report issues and suggest improvements.
  6. Regular Review and Adaptation:
    • Continuous Evaluation: Regularly review your SaaS stack to adapt to changing business needs and technological advancements.
    • Employee Involvement: Involve employees in the decision-making process regarding the adoption and elimination of SaaS tools.

SaaS Fatigue is a common challenge in today’s digital workspace, but with strategic planning and regular management, it can be mitigated. By consolidating tools, improving integration, managing costs, enhancing security, streamlining the user experience, and continuously reviewing your SaaS environment, you can ensure your organization remains efficient and productive without being overwhelmed by SaaS applications. And – it will save money.
